You Can’t Reclaim Time, So Get Organized

Share Post:

A former client of mine was always so proud of their to-do list that covered multiple pages of a yellow legal pad, categorized in groupings, i.e. work, parents, kids, other, etc.

I took one look at it and gasped for air. I found it extremely overwhelming and exasperating that anyone thought they could effectively be focused, understand the priorities, and manage that amount of work, even in a 24-hour day.

But, that was why he engaged me. He couldn’t get it done either and was burned out and getting very disgruntled about his work.

So, we got to work. Both he and I understood very clearly that time is the one resource we can’t reclaim. Once it is gone, it is gone, and the last thing any of us, and I hope you, want to do is to look back and find that all of our time was wasted on trying to accomplish a massively long to-do list of things that added little value to ones work or life.

The Time Management Crisis

Sadly, workplace stress is reaching critical levels and there doesn’t seem to be an off switch. Among professionals:

  • 35% identify their supervisor as the primary source of stress.
  • 65% of leaders experience burnout, impairing their well-being and performance.
  • 44% of executives plan to switch companies due to career growth concerns stemming from poor support.

These alarming figures indicate that poor time management exacerbates stress, creates mental fatigue, and leads to high turnover. For organizations, this results in decreased productivity, profitability, and employee satisfaction. For the individuals, it causes health and wellness issues, relationship challenges, and self-sabotage with self-medicating practices.

What Are The Causes:

Corporate professionals face several common hurdles that are often self-afflicted by their own lack of structure:

  1. The myth of multitasking is a productivity killer. Trying to do multiple things at once often leads to incomplete or low-quality outcomes.
  2. Overloaded schedules leave little room for strategic thinking or personal well-being.
  3. Constant interruptions from emails, notifications, and social media pull focus from meaningful work.
  4. A lack of clear prioritization or documented workflows creates inefficiency and stress.

Steps You Can Take:

To combat these challenges, here are some of my proven time management strategies:

1. Time Blocking
This is my favorite and my first go-to whenever my calendar is taking over and I’m losing control of my priorities. Time blocking involves allocating specific time slots in your calendar for focused work, mandatory meetings, personal breaks, and most importantly, intentional planning. Everything should get blocked even planned white spaces when you don’t allow anything to take over the time slots.

Many professionals find it easy to commit to other people appointments, i.e. boss, doctor, school, etc. They struggle to schedule, prioritize and commit to their own appointments they should be putting on their schedules, i.e. planning, personal development, strategic thinking, walking the dog, lunch, etc.

2. The 4 D’s of Sanity
Similar to that of the Eisenhower Matrix, here at Ball of Fire Coaching we advice our clients to organize tasks into four categories:

  • Do: High-priority tasks you are responsible to do and that require immediate attention.
  • Delegate: Tasks that team members are capable of and responsible for doing themselves, so you don’t micro-manage.
  • Delay: Postpone less urgent tasks to free up white space and bandwidth. If it isn’t due for a time, then keep space open.
  • Delete: Remove unnecessary tasks altogether and immediately so they don’t distract you.

This approach helps you streamline your to-do list and focus on what truly matters, which helps you and your team members to feel focused and confident in completing the tasks.

3. SMART Goals
Establish goals that are Specific, Measurable, Achievable, Realistic, and Time-bound (SMART). This framework ensures clarity and purpose in your daily work and aligns your team to the objectives of the business, improving accountability and achievement.

4. Set Boundaries
Set boundaries with both technology and people, including your boss.

First, technology: silence notifications, put your phone away, remove your smart watch (from buzzing), close out all tabs, apps, and screens other than what you’re working on. Clear your desk of everything but what is needed to complete a task. Create distraction-free zones to improve focus and reduce stress.

Second, people: learn to say ‘no’ to requests made that don’t contribute to achieving your team goals. At minimum, ask for real priority and deadline as to often someone will say ‘by day end’ when they won’t even get to it for a week. This includes your boss. By you saying ‘no’ or asking for priority, you’re also telling them that you are prioritizing and planning.

5. Two-Minute Rule

If your energy or focus is draining, set an alarm and work in bursts of 2, 5, 10 minutes on one task and then take a break. Or, if you do have a number of high-priority small tasks to do, focus on those small tasks for 2 minutes and pump them out to completion.

The Benefits of Mastering Time Management

Effective time management offers numerous benefits that can’t be understated, including:

  • Enhanced productivity and performance for you and your team.
  • Reduced stress and improved mental clarity.
  • Greater work-life blend, fostering overall well-being.
  • Higher team morale and retention, driving business success.

Remember, you can’t get time back, so make sure whatever time is spent, it is spent on high-value activities that will help move you forward and achieve your goals at work and life.

By adopting these strategies, corporate professionals can shift from reactive to proactive, aligning their efforts with meaningful outcomes. Productivity isn’t about doing more—it’s about doing the right things at the right time by the right people.

Take charge of your time today, and lead your team with clarity, confidence, and purpose.
